AI Follow-Up Automation
The follow-ups your team meant to send — drafted, queued, and waiting for a one-click approval.
What this looks like in practice
After a quote, proposal, or meeting, a follow-up is scheduled — three days, seven days, fourteen days, or whatever cadence your team actually uses. On the morning of, the system drafts a real follow-up message. Not “just checking in” — a message that references what was last discussed, the proposal or quote that was sent, and a specific next-step ask. It lands in the rep’s inbox or a Slack channel as a draft. The rep skims, sends, or kills it if the deal moved.
The draft pulls from your CRM (notes, prior touches, deal stage), the original quote or proposal, and any meeting notes you capture. The send is on you — one click. The system does not auto-send to live deals because the wrong follow-up at the wrong time loses the deal you almost had. We build with HubSpot, Pipedrive, Close, Salesforce, or a spreadsheet, plus your inbox. Make or n8n for orchestration, OpenAI or Claude for drafting.
What the team experiences differently: the calendar reminder that nobody loved becomes a Monday queue of ten draft follow-ups, ready in thirty seconds each. The senior rep stops carrying every account in their head. The follow-up that used to get dropped on busy weeks becomes the follow-up that goes out anyway.
Where this fits best
Quote-heavy and proposal-heavy businesses where the second-touch is where revenue actually closes. Construction services, industrial supply, B2B services, agency work. Anywhere the math says one or two recovered deals a month pays for the build. Less impactful for teams already running disciplined CRM cadence with dedicated SDRs — the gap to close is smaller.
What this isn’t
This is not a nurture-sequence tool. It is not for cold prospects who have not raised a hand. It is not a sequence builder for SDRs running 200 cold emails a week — there are better tools for that. This is for the warm middle: real conversations that need a real next message, on time.
